Staff

Position: Conference & Program Coordinator for the Center for Continuing Formation/Assistant to the Director of Institutional Services.

Directly Reports to:  Director of Reservations and Institutional Services

Responsible for:  Assisting the Director of Reservations and Institutional Services with specific tasks related to the reception of and communication of guests of the Center for Continuing Formation at St. Mary’s Seminary and University.  Work closely with the Director of Continuing Formation of Priests for internal programs and the Director Youth Theological Studies with administrative duties for the Pinkard Scholars program.

Independent Responsibilities:

  1. Coordinate all conferences and programs in the Center for Continuing Formation. Work closely with the Director of Continuing Formation of Priests to plan inside programs.  Work directly with the Director of Reservations and Institutional Services for all tasks affiliated with outside group events held at the Center for Continuing Formation and additional in-house duties.
  2. Schedule and coordinate all materials for Center’s priestly programs. Prepare mailings, schedule rooms and all meals, socials and audio visual equipment for the meetings.  Assign rooms, prepare all course material packets, agendas, name tags, etc.  Communicate pertinent information with attendees to include itinerary, any schedule changes and directions to the Center.  Greet guests and reply to any requests they have while staying at the Center.
  3. Coordinate aspects of Center events/guests with appropriate department including housekeeping, food service & maintenance services.
  4. Maintain EMS (Event Management System) reservations in addition to internal calendar to show upcoming events. This calendar is distributed monthly to an assigned internal group at St. Mary’s Seminary & University.
  5. Prepare contracts and reservations for outside groups that use the Center. Coordinate deposits, agendas, food requests, room assignments, equipment needs, sacristan requests and billing for the groups. 
  6. Communicate with Housekeeping staff daily regarding the status of guest rooms and any other housekeeping issues regarding the Center for Continuing Formation.
  7. Communicate with Maintenance staff regarding any maintenance issues relating to the Center.
  8. Work closely with the Director of Youth Theological Studies for the Pinkard Scholars. Duties include all administrative tasks to include; updating database of schools and churches, prepare all materials for students, coordinate and prepare orientation materials and beverage service, greet students and take attendance weekly, plan end of year ceremony and reception.  Give information to registrar for students to obtain credits.
  9. Work directly with Advancement office to assign rooms for Alumni Day.
  10. Make edits and additions to the St. Mary’s website for events pertaining to the Center for Continuing Formation.
  11. Check the Faculty Common Room weekly for cleanliness and replenish liquor and relay to food services if beverages need to be replenished.
  12. Check Faculty kitchen for cleanliness, and restock wine and coffee. Relay any requests to the appropriate department. 

 

 Required Skills:

  1. Excellent communication and interpersonal skills.
  2. Excellent attention to detail and ability to independently prioritize tasks.
  3. Excellent computer skills (knowledge of Microsoft Office Suite, Excel, EMS, TMA)
  4. Experience with event planning and customer relations
  5. Requires flexibility with schedule – some weekend work required

 

An understanding of the Roman Catholic Church is strongly preferred

 

Salary and Benefits

Salary range is $45,000 – $50,000 and will include excellent benefits.  This position is exempt.

 


Position: Cataloging Librarian at the Knott Library

 

Introduction

The Knott Library, a theology library at St. Mary’s Seminary and University in Baltimore, Maryland, invites applications for a full-time Cataloging Librarian.

 

Position

The Knott Library seeks an accomplished, team-oriented and dedicated librarian to perform original and copy cataloging, traditional library services – such as circulation, reference, serials etc, – and all other day-to-day operations in collaboration with the Library Director and the Electronic Resources Librarian. The Cataloging Librarian will also assist in training of all work-study students, special projects, and producing and maintaining policies, reports and usage statistics.

 

Qualifications

Required: ALA-accredited MLS degree, professional and / or paraprofessional cataloging experience and training using MARC, LCSH, LCCS, and ITS.MARC, demonstrated understanding of library operations, experience with integrated library systems and excellent communication skills, and the ability to work in a collaborative environment.

Preferred: Experience with TLC Library. Solutions and OSA, bachelors or advanced degree in theology or related field, foreign language knowledge and familiarity with Roman Catholicism.

 

Salary and Benefits

Salary range is $45,000 – $52,000 and will include excellent benefits. This is an exempt position.

Electronic Resources Librarian at the Knott Library

 

Introduction

The Knott Library, a theology library at St. Mary’s Seminary and University in Baltimore, Maryland invites applications for an Electronic Resources Librarian.

 

Position

The Knott Library seeks an accomplished, team-oriented and dedicated librarian to manage, support, and maintain all electronic resources (i.e. eReference,  eJournals, Article Databases, and eBooks) and services while providing digital information literacy instruction for faculty, students, and community members. The position is responsible for the efficient operation and access of website content, article databases, e-books, and online reference. The librarian will also participate in standard library practices (i.e. assisting circulation, reference, serials etc.), and all other day-to-day operations in collaboration with the Library Director and the Cataloging Librarian.

 

Qualifications

Required: ALA-accredited MLS degree, demonstrated understanding of electronic resource management and web design, experience with individual and group instruction, demonstrated understanding of library acquisition and serials operations, experience with integrated library systems, excellent communication skills, and availability to work nights and weekends as needed.

 

Preferred: Experience with TLC Library.Solutions, OSA, and EBSCO resources, bachelors or advanced degree in theology or related field, experience providing and maintaining access to electronic resources, understanding of the electronic resources life cycle, foreign language knowledge, and familiarity with Roman Catholicism.

 

Salary and Benefits

Salary Range $52,000 -59,000, and will include excellent benefits. This is an exempt position.
